DBS checks (previously CRB)

Community Action Suffolk (CAS) provides a quick and efficient solution to Disclosure and Barring Service (DBS) checking.

CAS has been a registered umbrella body with the DBS since 2002 and provides a range of options to suit your needs when it comes to DBS checking. Our experienced staff will guide you through the process with the minimum of delay and are happy to answer any questions you may have.


What is DBS?

The Disclosure and Barring Service (DBS) helps employers make safer recruitment decisions and prevents unsuitable people from working with vulnerable groups, including children. It replaced the Criminal Records Bureau (CRB) in December 2012.


How can CAS help you with DBS checks?

We offer the “new” online DBS checking system at competitive prices for all sizes of organisation. Over 400 voluntary and commercial organisations currently use our service, some carry out one or two checks a year, others do so more regularly.


Online DBS application system

Through our online system we are able to process checks for organisations based all over the UK. The system uses an administrator and ID verifier account to access the system.

The administrator account allows you to:

  • set up DBS applications for individuals (e.g. for a new employee or volunteer)
  • check the progress of applications
  • amend form details

The ID verifier account is used to verify and submit DBS application. These accounts can be for one person (or more) in an organisation, we do not limit the number of accounts you can have. We can also process Route 2 external verification and DBS Adult First checks.

The benefits of using the online system are:

  • Access to the system at any time and place
  • Applications are sent to applicants and CAS instantly, avoiding any postal delays and costs
  • The system has built-in error recognition software to help with completing forms
  • Track the progress of applications
  • Receive notification that the certificate has been issued to the applicant
  • Receive notification that the certificate doesn’t contain any conviction information
  • Reduced turnaround time (average turn around time is 5-7 days, compared to 30 days for paper forms)
  • Applications are continually processed
  • No set up fees

Traditional paper form applications

We recommend using the online system for the reasons outlined above. However, we do still offer the traditional paper-based system, which may be of use if staff or applicants are not confident with IT. There is no charge or set up fee to join our service.


What is the recommended way for me to proceed?

“We regularly process DBS checks”
If you regularly process DBS checks, we can set up your organisation with the user administrator and ID verifier user accounts. This allows you to have complete control of the process from start to finish with access to our advice and guidance when needed.

“We are comfortable carrying out the online process ourselves”
If you wish to carry out the whole DBS process yourself we can set up your organisation with the user administrator and ID verifier user accounts. This allows you to have complete control of the process from start to finish with access to advice and guidance when needed.

 “We only have a small number of applications”
You can simply provide us with the email details for those that need checking and we can set up the online application on your behalf. Once the applications have been completed, a nominated ID verifier in your organisation checks the ID and inputs it into the system to complete the process.

“We only have one or two applications and would prefer to meet with you”
Whether paper or online applications, you can book an appointment at our Ipswich office with a fully trained DBS team member to go through the process with you. Whilst the personal application system attracts a small additional fee, it takes the worry out of completing the form and removes the potential for delays.

“We have a large group of people to be checked at the same time”
If you have 15 or more people who need to be checked, we can visit you to carry out a DBS checking session. This gives you access to a trained, knowledgeable member of staff to run the sessionand answer any questions. We will provide you with the information to prepare individuals for the session, we will assist them in completing their forms and ID checking at the session. Whilst this group checking system attracts a small additional fee, it means that all applications are done at the same time and it takes the worry from you having to run the session.


Prices

Whether using the online system or paper forms we charge the same price:

Voluntary organisations

  • £10 for a volunteer check (administration fee)
  • £54 for enhanced employee check (£44 DBS fee + £10 administration fee)

Commerical organisations

  • £15 for volunteer check (administration fee)
  • £59 for enhanced employee check (£44 DBS fee + £15 administration fee)

Discounts are available for organisations who process bulk online applications, please contact us for more information.
